Submissions

Fill submissions are processed automatically. Item-bound forms update the existing monday.com item. Board-backed forms create a new item for each submission, unless the link is single-use and has already been used.

What Happens on Submit

  1. The respondent opens a public form link.
  2. Password-protected forms require the correct password before fields are shown.
  3. Fill validates the submitted values against the form's column rules and supported monday.com column formats.
  4. If quota is available, Fill applies the values to monday.com and records the submission as success.
  5. If the submission quota is exhausted, Fill records the submission as queued and applies it later when quota becomes available.

Submission Statuses

StatusMeaning

queuedThe submission was accepted but is waiting for quota before it can be applied.
failedFill attempted to process the submission but could not apply it because of a system or monday.com error.

Older internal records may mention manual admin application, but the current product applies new submissions automatically.

Item-Bound Forms

An item-bound form belongs to one monday.com item. Successful submissions update that item's selected columns. If editing after submit is enabled, the same public link can be opened again and submitted more than once.

Completion: Admins can close an item-bound form after it has at least one submission. The completed view shows aggregated latest values and a submission history. Acknowledging completion purges submitted PII from stored submission records.

Board-Backed Links

A board-backed link is not attached to an existing item. Each successful submission creates a new item on the selected board using the fields on the form.

Permanent links

Permanent links keep accepting submissions until an admin deactivates them from the dashboard.

Single-use links

Single-use links close after the first successful submission and cannot be reactivated after use.

Files and Readonly Fields

File columns can accept uploaded files on item-bound forms. File uploads are validated before processing and are not currently supported for board-backed links. Readonly file columns cannot receive uploaded files.

Optional empty fields are omitted from the submitted values, so they do not overwrite existing monday.com values.
