Dashboard

Dashboard

The Dashboard is your central command center for Item to Form. It gives you an at-a-glance view of all your forms, key performance metrics, quota usage, and lets you manage every form without leaving a single screen.

Overview

When you open the Dashboard, you see your board's forms organized in a data table with summary metrics at the top. The Dashboard is board-scoped — it automatically detects which monday.com board you are on and shows only forms belonging to that board.

The page is laid out in sections from top to bottom: a KPI summary strip, an optional quota banner, a filter bar, and the forms table. Clicking any form opens a detail drawer on the right side.

KPI Summary

The KPI strip sits at the top of the Dashboard and displays four real-time metrics:

Total Forms

The total number of forms created on the current board, regardless of status.

Active

The number of forms that are currently open and accepting submissions.

Submissions

The total number of submissions received across all forms on this board.

Queued

Submissions that are queued and pending the next billing cycle. These will be applied once your quota refreshes.

Quota Banner

Below the KPI strip, a quota banner shows your monthly form submission usage at a glance. The banner adapts its appearance based on your current usage level:

Healthy

Usage is below 80% of your plan limit. The banner is neutral with a subtle "View Plans" link.

Nearing Limit

Usage is at or above 80%. The banner switches to an amber gradient with a prominent "Upgrade Plan" call-to-action.

Limit Reached

No remaining quota. The banner turns gold with a bold upgrade prompt. New submissions are queued until the next billing cycle or until you upgrade.

The banner also shows the progress bar, used vs. limit numbers, queued submission count, and the date when your quota resets.

Filtering and Searching

The filter bar lets you narrow down the forms list using two mechanisms:

Status Tabs

Filter by form status. Each tab shows its count so you can quickly see how many forms are in each state:

  • All — every form on the board
  • Active — forms currently accepting submissions
  • Completed — forms that have been submitted and closed
  • Expired — forms past their expiration date

Search

Type to search forms by item name. The search is case-insensitive and filters the table in real-time.

Forms Table

The main body of the Dashboard is a data table listing all matching forms. Each row displays:

ColumnDescription
Item NameThe monday.com item the form is attached to
StatusColor-coded badge — Active, Completed, or Expired
SubmissionsTotal submissions received. If there are queued submissions, an orange badge shows the queued count
CreatedWhen the form was generated
ExpiresThe expiration date, if one is set. Empty for forms with no expiration
ActionsQuick actions — copy the form link and open settings (for active forms)

Additional visual indicators on each row include a lock icon for password-protected forms and a data-purged icon if the form's submission data has been deleted.

Form Detail Drawer

Clicking any row in the forms table opens a sliding drawer on the right side of the screen. The drawer shows the full form configuration panel where you can:

  • View and update form settings (password, expiration, allow editing)
  • Copy or regenerate the shareable link
  • View submission details and history
  • Delete the form

The drawer supports all form states — active, completed, and expired — and adapts its available actions accordingly. Press Esc to close the drawer.

Archive

The Dashboard includes a dedicated archive for forms that have been completed or whose data has been purged. Click the Archive button in the page header to open the archive drawer.

Archive List

Shows all archived forms with their item name, archive date, submission count, and creation date.

Archive Detail

Click an archived form to see its details. If the form's submission data has been purged, a banner indicates when the data was removed.

Refreshing Data

Click the Refresh button in the header to reload all forms and quota data. This is useful after making changes outside the Dashboard (e.g., generating new forms from an item view) to ensure the metrics and table are up to date.
